Function

Be a Vital Asset to the EU and Brussels Team:

  • Provide seamless support by taking ownership of your responsibilities and efficiently managing your time in order to meet your different deadlines.
  • You are the point of contact for all visitors and are fully responsible for the management of the reception.
  • Coordinate internal and external meetings, teleconferences and events from A – Z, always thinking of every little detail in order to ensure a smooth running, where necessary liaise with event companies.
  • You organise all the Director General’s travel arrangements.
  • Utilize your excellent written and spoken language skills to reply to e-mails as well as to engage with international stakeholders over the telephone and when they attend meetings.
  • You are the SPOC for all Facilities matters, entailing contact with the Landlord, the Concierge and the Cleaning Company.
  • Manage all supplies, (stationary, office equipment, food and drinks), ensuring both a professional and comfortable working environment.
  • Provide Accounting Support including expenses’ follow-up, (SAP CONCUR), invoicing (Odoo) and vendor and client forms.
  • Provide HR Support by handling onboarding including the info session.
  • Update data, Sharepoint.

Profile

What You Bring

  • Minimum 3 years of relevant experience.
  • Excellent written and spoken English with intermediate written and spoken French.
  • Proficient in MS Office with a keen eye for detail.
  • Solution-oriented and hands-on mindset.
  • Proactive and service-minded attitude.
  • Effective organisational and prioritisation skills to adapt to changing agendas and your diverse responsibilities.
  • Diplomatic, discrete and empathetic communication skills.
  • Highly motivated and dynamic team player with a genuine desire to contribute.

Offer

  • 3000 – 3500€ gross salary x 13.92, plus Discretionary Performance Bonus, (up to 10% of annual salary, via warrants), Lunch Vouchers, 7.5€, Eco Cheques, 250€, Group Insurance, 10%, Hospitalization, (Family too), Internet Allowance, 40€, Company Phone & Subscription, and Transport Reimbursement.
  • 38 hour workweek.
  • Rare overtime requirements. (Flexibility, both sides).
